Booking accommodation

The booking of accommodation is a contract between our two parties.

The Academy Motor Inn agrees to provide the accommodation and services described and agreed. The guest undertakes to pay for the accommodation booked and services used unless it has been cancelled by them in accordance with Academy Motor Inn's cancellation policies (see below).

Due to the size of the motel, late cancellations or no shows significantly affect our business, so if your plans do change for some reasons, the Academy Motor Inn asks that you let us know as soon as possible. Failure to advise may incur a charge.

Room rates

All prices are quoted in New Zealand dollars on a per night basis and include Goods and Services Tax of 15%.

Room rates vary throughout the year from the low season prices in the middle of winter to the peak season prices in the middle of summer and/or for major event weekends. The Academy Motor Inn’s secure internet reservation system displays our room rates and availability on any particular day.

The prices advertised on Academy Motor Inn’s secure internet reservation system are per room, for the number of people and the date(s) selected, unless otherwise specified.

Payment Policy

  • Full payment will be processed on the credit card provided the morning of arrival unless prior agreement with management. For same day reservations, payment will be processed immediately.
  • A valid credit card will need to be provided on arrival to cover any incidentals while staying at the motel, debit cards are not accepted.
  • Changes in reservation term: Any change in reservation term will be treated as a new booking and may incur additional charges. Any extension to a booking is subject to availability of rooms. Earlier departure than the reserved date may not result in a refund unless the motel management approves and are able to relet the booked accommodation.
  • All guests who have booked their accommodation through a Third Party are responsible for any outstanding charges that may apply.
  • It is highly recommended that all guests, whether traveling from offshore countries or domestically, have an up to date Travel Insurance policy in the event of unforeseen circumstances (bad weather, accidents, illness, Covid, change of mind, etc.)
  • Payment for bookings made via booking sites such as Booking.com will be processed two days before arrival, once the standard free cancellation has finished.

Cancellation Policy

  • Cancellations up to 48 hours before the booked date incur no fee. Thereafter, the total amount for the booked accommodation may be charged.
  • Cancellations made within 48 hours before 2pm on the day of arrival will be charged.
  • 2 weeks’ notice of cancellation required for all public and school holiday bookings
  • Special conditions apply to Group quotations/reservations (more than 5 rooms):
    • 10% deposit required to confirm booking. The balance to be paid 7 days before arrival.
    • Cancellation of Group bookings must be notified no later than 30 days prior to the expected date of arrival.
    • All group cancellations less than 30 days prior to the expected date of arrival will be charged 10% of the booking total.
    • Changes to and cancellations to group bookings will incur a $25.00 administration fee.

No show – fail to arrive

As the Academy Motor Inn has a contract with you and holds your booking in good faith pending your arrival if you fail to arrive for your booking, you will be charged the full cost of the accommodation booked.

Early departure

Earlier departure than the reserved date may not result in a refund unless the Academy Motor Inn is able to relet the room.

Peak periods

In peak periods a minimum night stay and special cancellation conditions will apply. Please contact us to discuss further.

Child/ Additional Guest policy

Children 2 years of age and under are free of charge when accompanied by a paying adult and using a portacot, or sharing the same bed as adults.

  • A free portacot is available for children 2 and under upon request
  • Children who are between 2 and 16 using existing bedding are charged at $20 per night
  • Additional guests 17 and above are charged at $20 per person per night.

In circumstances where additional beds or bedding are required or used, the extra person rate will apply.

Guests under the age of 18 must be accompanied by a guest of 18 years or over.

It is the parent's, guardian's or team management's responsibility to supervise the child or children at all times while staying at the Academy Motor Inn. Children must be supervised at all times in the swimming pool area.

Portacots and High Chairs

Portacots and High Chairs are available free of charge, subject to availability and prior arrangement.

Check-in

The Academy Motor Inn welcomes your arrival from 2.00pm or earlier by prior arrangement which maybe subject to relevant fees.

Upon arrival, each guest will be required to sign a Registration form confirming the details are correct and accepting the terms and conditions therein of his/her stay.

Reception hours are 8:30am to 7pm, Monday to Sunday.

If you are unable to check-in during Reception hours, please telephone Reception on (07) 578 9103 to arrange a late check-in or key collection.

Guests who do not contact us will be charged a late check-in fee of $50.00.

Check-out

Check-out is by 10am on the day of departure or later by prior arrangement which will be subject to charges

Lost keycards

A charge of $25 will be incurred for any keycards that are lost to cover the cost of replacement. If a guest requires entry to their room outside of office hours they will be charged $50.

Damages

Damage to motel property should be reported immediately. Any extra cleaning, repairs or replacements required to restore our guest rooms or property to its normal condition will be charged to the registered guest at replacement cost or market rates, plus a charge for any resultant loss of income if applicable.

Room condition

If your room is left in an unsatisfactory state, this includes, excessive rubbish, misuse of motel property (including Manchester), any unhygienic uncleanliness, soiling, excessive mess or odor in the kitchen, which causes excessive and unwarranted cleaning time by Academy Motor Inn staff, the Academy Motor Inn reserves the right to charge for the cost of extra cleaning, repairs or replacements required to restore our guest rooms or property to its normal condition.

Smoking. By law smoking is not permitted in any of the rooms.

Ashtrays are provided in outside areas of the complex for guests to use. Please smoke outside away from open windows, doors and other guests – especially children. In the event of someone having smoked inside any unit, the management will make a charge of $250 against the registered guest’s credit card. This will be to recover additional cleaning costs and loss of income. Any further loss of income over and above this amount may be also be charged if required.

Strong smells remaining in the room

In order to avoid residual lingering food odors that may be offensive to subsequent guests, the cooking of seafood, fish or strong smelling foods is not permitted in the motel unit. If after a guest departs, strong residual food odors remain, the registered guest may be charged a minimum of $100 for the cost of professional cleaning. If the room cannot be rented until the smell is removed, the registered guest will be charged for the resulting loss of income to The Academy Motor Inn.

Visitors

Guests' visitors are welcome and must report to Reception. The registered guest is responsible for the behavior of all persons/visitors whilst on the property. The Academy Motor Inn asks that you consider and respect other guests and its neighbors by keeping noise levels to a minimum.

All visitors not booked into the motel are expected to leave the premises quietly before 8pm.

Pets

With the exception of guide dogs, we do not allow pets in our guest rooms.

Internet usage and copyright

The Academy Motor Inn provides free internet access to enable its customers to access email accounts and to search for information via the internet.

Under New Zealand Copyright Law the rights holders (owners) of movies, TV shows and music can now send fines of up to $15,000 to the Academy Motor Inn if their copyrights are infringed. If you infringe any rights holders’ copyright and the Academy Motor Inn is fined, those fines will be passed onto you.
